Terms and Conditions

Effective date: 1st September 2025

By purchasing from or accessing The Majlis Academy shop, website, or teacher portal (collectively “Services”), you agree to these Terms & Conditions (“Terms”).

1. Definitions

“We/Us” means The Majlis Academy (CCG/Majlis group entity operating the shop).
“You/School” means the purchasing individual, teacher, or institution.
“Physical Products” means cultural artefact kits, book boxes, posters and printed materials.
“Digital Services” means the teacher portal, online CPD, AR/QR/NFC experiences, downloads and updates.
“Licence” means the permission we grant for use of Digital Services and content, subject to these Terms.
“Class Licence / Site Licence” refers to the scope of access purchased (e.g., single class vs whole-school).

2. Intellectual Property & Licence

2.1. We own all intellectual property rights in the Physical Products and Digital Services (including stories, illustrations, artefacts, figurines, teacher guides, videos, AR/QR content, CPD materials and documentation) unless expressly stated otherwise. All rights reserved.

2.2. Purchase grants a non-exclusive, non-transferable licence for the scope you buy (e.g., single class or site-wide). No onward copying, redistribution, public posting, resale or sub-licensing is permitted without our prior written consent.

2.3. No AI/LLM ingestion. You must not upload, ingest, scrape, fine-tune, or derive works from our content using AI/LLM or automated tools (including generating summaries or derivative content), except where we provide an explicit tool or permission.

2.4. Serialised kits & codes. Each kit or resource may include a unique ID and AR/QR/NFC code. These identifiers and codes are class/school-specific, may be time-limited, and must not be copied or shared beyond the purchased licence.

3. Accounts, Access & Licence Scope

3.1. Named access & SSO. Digital access is provided to named users (e.g., school staff) and may require sign-in via school Microsoft/Google SSO.

3.2. Licence scope.

  • Starter/Core (Class Licence): access is limited to the named teacher(s) and the registered class(es) only.
  • Elite (Site Licence): access for all teachers within the purchasing school site.

3.3. No account sharing across year groups, departments, or schools outside the purchased licence. We may apply reasonable session/device limits to maintain service quality.

3.4. Access continues only while an active, paid subscription or licence remains in force. On expiry or termination, all access ends and downloaded Digital Services must cease to be used.

4. AR/QR/NFC & Digital Features

4.1. AR/QR/NFC links are an access mechanism to Digital Services. They may be bound to a class, school domain or time window and may require login.

4.2. We may rotate or expire codes and update content periodically to ensure quality, safety and compliance.

4.3. If a code is used outside the permitted licence (e.g., another class or school), the experience may show only a preview or be denied.

5. Physical Products (Kits, Artefacts, Book Boxes)

5.1. Use artefacts respectfully and in line with our bilingual facilitation notes. Some items may have age or handling guidance. Use of artefacts must align with cultural norms and MoE/ADEK/KHDA/regulatory body guidelines on classroom resources.

5.2. Once opened, returns are not accepted for kits/artefacts/book boxes due to copyright, safeguarding, and hygiene reasons (see section 8 for cancellations).

5.3. Risk of loss passes on delivery to your specified address. Please inspect parcels promptly and notify us of any damage within 7 days.

6. Payment, Pricing & Taxes

6.1. We accept credit/debit cards, Apple Pay and Google Pay (for B2C and individual purchases), and bank transfer/invoice (for schools).

6.2. Invoices are due on receipt unless otherwise agreed in writing. We may suspend services until payment is received. Title to Physical Products and Licences remains with us until full payment.

6.3. Prices are quoted in AED unless otherwise stated. All prices and applicable fees (including any VAT or customs duties) will be clearly shown at checkout or on your invoice, in compliance with UAE Consumer Protection Law.

6.4. We reserve the right to correct pricing or content errors and to refuse/cancel orders that rely on an error (with a full refund where payment has been taken).

7. Delivery & Activation

7.1. Digital Services (portal access, CPD, AR) are provisioned after payment clearance.

7.2. Shipping timelines for Physical Products will be indicated at checkout or in the invoice; international delivery may incur customs duties payable by you.

8. Cancellations, Returns & Refunds

8.1. Digital Services: once portal access, downloads or AR/QR experiences are delivered/activated, no refunds are available.

8.2. Physical Products: unopened items may be returned within 14 days of delivery at your cost; a refund will be issued on safe return in “as-new” condition. Opened kits/artefacts/book boxes are not returnable (see section 5.2). This does not affect your statutory rights under UAE consumer law.

8.3. CPD/Coaching & Events: cancellations must be notified 14 days in advance; otherwise fees remain payable. If we must reschedule for reasons beyond our control, we will offer a new date or a credit.

8.4. Any discretionary refunds outside these rules are at our sole discretion.

9. Reselling & Prohibited Uses

9.1. Resale or redistribution of our training, resources, AR/QR codes or portal content is prohibited without written consent.

9.2. No scraping, bulk downloading, framing, reverse engineering, or automated access to the portal or media.

9.3. Parent packs, home QR links and classroom codes are for the licensed class only unless a site licence is in place.

10. Data Protection & Privacy

10.1. We do not require pupil personal data to deliver the Services. We process limited staff account data and class-level usage analytics to provide access, evidence and support. Inspection-related evidence generated via the portal is provided as a support tool only; the school remains responsible for compliance with KHDA/MoE inspection frameworks.

10.2. We keep such data secure and use it only to operate and improve the Services. See our Privacy Notice for details.

10.3. You must keep your login credentials secure and notify us of any unauthorised access.

11.1. We may update, improve or replace features (including curriculum alignment, seasonal content and AR experiences) from time to time.

11.2. We will use reasonable endeavours to keep Services available, but planned maintenance and internet issues may cause interruptions.

12. Warranties & Liability

12.1. Services are provided “as is” to the maximum extent permitted by law. We do not warrant that the Services will be uninterrupted or error-free.

12.2. Limitation of liability: to the maximum extent permitted by law, our total aggregate liability arising out of or in connection with these Terms shall not exceed the total amount paid by you in the 12 months preceding the claim. We exclude liability for indirect, consequential or special losses, loss of profits, and loss of data. Nothing in these Terms limits our liability for death, personal injury, or fraud, where such limitation is not permitted under UAE law.

13. Indemnity (Responsible Use)

You agree to use the Services lawfully and in accordance with these Terms. You will be responsible for losses we suffer that are directly caused by your unauthorised redistribution, unlawful sharing of logins/codes, or misuse of artefacts contrary to our guidance.

14. Suspension & Termination

We may suspend or revoke access (without refund) where there is reasonable evidence of material breach, including: unlawful sharing of logins/codes, redistribution of content beyond licence scope, AI/LLM ingestion, or non-payment.

15. Force Majeure

Neither party is liable for delay or failure to perform due to events beyond reasonable control (including acts of God, epidemic/pandemic, regulatory changes, supply chain disruption, or telecommunications failures). Obligations resume once the event ends.
